Organising a corporate entertainment event is often considered to be a tiresome task and is especially daunting if you haven’t organised one before. Corporate events require a lot of detailed planning and organisational skills to ensure that numbers are counted, all required bookings are made and that timings have been worked out to (military) precision.
Eventful Stays are fast becoming experts, and if you are looking for some advice on organising a corporate entertainment event then having been there and done it many times ourselves, we have five handy tips to help you organise your event successfully.
Tip 1 – Understand your background information thoroughly
It will firstly be important to get some background information on the guests such as how many there are and what is expected from the day. It will also be vitally important to understand what the budget is so that you know your exact spend. Don’t forget to check what this budget is meant to include, for example, does it cover food, entertainment, parking, insurance, accommodation etc.?
Tip 2 – Choose the right event
To choose the right event you will need to know who the people are that are going to be attending. This will give you a good idea of what they expect from the day and what their tastes are. This type of information will have presented itself in the background information research that you carried out in stage one regarding the guests. If you are stuck for inspiration about how to entertain the guests, then have you considered sporting events as these can be very popular and many sports venues are used to running corporate hospitality occasions. Events which are popular for corporate clients include the Boodles Tennis Challenge at Stoke Park and horse racing days at places such as Royal Ascot or Cheltenham Racecourse.
Tip 3 – Choose the right accommodation
Accommodation for corporate entertaining and somewhere for guests to stay can be difficult to find. Corporate guests can be very demanding and want home-from-home comforts as well as the ability to continue working should they desire. Therefore, it will be important to find places to stay that have Wi-Fi and parking. Accommodation can be the make or break of your corporate events, so it is important to choose it wisely and visit the accommodation if you have time. If you don’t have time or need advice on corporate accommodation, remember you can always speak to Eventful Stays as we have a number of ideal places to stay for all types of corporate hospitality events.
Tip 4 – Ensure enough time
Timing is vital when organising an event, so it will be essential to make sure that you don’t leave anything to the last minute. Just remember to give yourself plenty of time.
Tip 5 – Plan for problems and have solutions at the ready
Problems are inevitable and you shouldn’t worry as something will always crop up on the day. You can help yourself though as before the event takes place you should have a think about anything that could go wrong and think about how you will solve the problem. That way, if the problem arises you will already know what to do and be on the case.
If you follow these five simple tips to organising a corporate event you will find that organising the event can not only be challenging but it can also be fun and rewarding. You may not appreciate this until the event is over but with successful event planning, the rewards and praise for the corporate event will be all yours to reap.
